🤝 Avature | Export

SeekOut integrates with your Avature account, allowing you to export candidate information from SeekOut and turn it into Avature candidate profiles complete with contact information and work/education history. Candidate data can be sent to Avature as prospects or attached to an existing job.

This feature is available for users with Essential, Professional, or Enterprise licenses.

This article covers how to set up your integration, as well as how to export candidate info from SeekOut to Avature.

Before You Begin

Contact your Avature consultant or support representative and inform them you are integrating with SeekOut. Ask Avature to provide for you the following:

  • Import Service Endpoint

  • Jobs Report Endpoint (Optional)

    • This is required to export candidates from SeekOut to a job posting in Avature

    • See the section below for an example of what the output should look like.

  • API Key (Optional)

    • This is required if your Avature account requires authentication via an 'X-Avature-Key'

Save this information to a safe place; you'll be entering it into SeekOut.

Mapping SeekOut's Fields to Avature

You need to map the fields from a SeekOut CSV to the candidate fields in your ATS. Avature support can help you with this step. See the section Documents below for a copy of SeekOut's CSV export file.

Setting up the Avature Integration

Accessing Integrations

Click your name at the bottom left of the SeekOut dashboard, then select Integrations.

Note: Don't see the Integrations option in your menu? Contact your Customer Success Manager or support@seekout.com and ask to enable ATS integrations for your org.

On the Integrations page, click + Add a Connection to open the list of applicant tracking systems. If you've set up an integration with SeekOut before, your current integrations will be listed on this page. Click the plus sign + at the top of the page to open the ATS list.

If you already have an integration set up, you can add a new integration by clicking the plus sign at the top of the Integrations page.

Connecting to Avature

Locate Avature from the list of integrations and click the Connect button.

On the Capabilities tab, check the box next to Export. Make sure the other boxes next to Rediscovery are unchecked.

  • Check Export only as Prospects if you choose not to export candidates to specific jobs in your ATS. If you're exporting candidates to a job, make sure this is unchecked.

  • Check Enable Education and Experience Detail Fields if you want a candidate’s education and experience details expanded in the file being exported to Avature. If this is not checked, the candidate’s education and experience details will be input as one continuous data point in the Education and Experience columns respectively. See additional details in the tables below.

Click Confirm Choices to continue to the next step.

On the Credentials page, enter the following:

  • Job Report (Optional)

    • Paste your Job Report URL you received from Avature.

      • Example: https://{companyId}.avature.net/PublicReports/{id}/json

    • This should only be used if you plan on exporting candidates to a job in Avature. If you're not exporting to a job, you can leave this blank.

  • Import Service (Required)

    • Paste your Import Service URL you received from Avature.

      • Example: https://{companyId}.avature.net/ImporterService/{id}/

  • Query Endpoint

    • Leave this blank.

  • Key (Optional)

    • Paste your API key you received from Avature.

    • Only required if your Avature account requires authentication via an 'X-Avature-Key.' Otherwise, you can leave this blank.

Click Submit to save your credentials, then click Next. SeekOut will automatically attempt to verify your connection. When successful, Avature will appear at the top of your Integrations page with a green check mark.

Removing the Integration

On the Integrations page, click the arrow next to a connected integration to Edit or Remove the integration from your SeekOut account.

Exporting to Avature

Recommended: Export from a project

To export all candidates in a project to Avature, go to your SeekOut project, click the Export icon and choose Export All to Avature.

Note Contact information such as email addresses and phone numbers will only appear in your export if you click Get Email for All and Get Phone for All before exporting.

Alternatively, you can export select candidates from SeekOut by clicking the box next to their profile, clicking Export and then selecting Export X to Avature. With both methods, clicking Export to Avature will cause a pop-up window will appear.

You can select a job from the dropdown menu or export the candidates as prospects. If your ATS does not support candidate profiles without email addresses, check the box Generate dummy email addresses for candidates. Click the Export button to export candidates to Avature. If successful, you will see a confirmation pop-up message that says "Export Complete."

Additional Notes

Duplicate Profiles

By default, SeekOut will not transmit profiles that have already been successfully exported. Candidates that have been exported will display a confirmation icon and the name of your ATS in their SeekOut profile.

Check the box Include previously exported candidate(s) if you're exporting the same candidates to your ATS again.

Depending on your Avature account, your ATS may not support duplicate checking. If you successfully export the same candidate twice, they may or may not appear twice in Avature.

What fields are sent from SeekOut to Avature?

The information sent to your ATS will depend on if you've enabled education and experience detail fields when setting up your integration.

What do dummy emails look like?

When you check the box "Generate dummy email addresses" before exporting to your ATS, then SeekOut will create email addresses and send them along with each candidate who doesn't already have an email associated with their SeekOut profile.

When you check the box 'Generate dummy email addresses' before exporting candidates, then SeekOut will create fake email addresses for any candidates who don't already have an email associated with their profile.

The email addresses generated by SeekOut will look similar to these examples:

  • no-email--352233856@seekout.example.com

  • no-email--828794187@seekout.example.com

  • no-email-1047659244@seekout.example.com
